Overall Purpose of Job

A multi-disciplinary & market leading surveying consultancy with a highly reputable Property, Asset & Facilities Management team is looking to appoint a Commercial Property Manager based in York.

Managing around £150m of a cross-section of commercial property types, our client combines experience and knowledge with innovation and creativity, handling a wide variety of national commercial property portfolios, for a variety of clients.

The Role

  • The Property Manager will provide support to the Director of Property Management and the wider Property Management team and be able to complete a number of duties and support which may include but are not limited to the following:

  • Compile and Produce client and management reports on a monthly and/or quarterly basis

  • Prepare tenant activity report & support

  • Undertake periodic property inspections

  • To provide, prepare and update tenancy reports

  • Maintaining Database details/information on a regular basis

  • Undertake compliance and due diligence tasks

  • Working autonomously on complex admin tasks

  • Working with team administration ensuring all fees are being charged correctly

  • Providing support to oversee the accounts on properties

  • Assisting with matters relating to Insurance Claims

  • Prepare workflow instructions for new clients, properties, leases & ongoing amendments to tenancies.

  • Liaise with the property accounts team over any property queries where necessary

  • Completion of service charge reconciliations

  • Assist with rent collection and other receivables

  • Work with utility advisers for reconciliation

  • Working with site teams and rating advisors, to help manage void business rates

  • Assist in the production of pitches and presentations as required using PowerPoint, Word or other formats, overseeing other colleagues input where necessary

  • Manage the set up & handover of properties

  • Compile Excel spreadsheets including preparing service charge budgets, tenancy schedules, new property budgets, void costs’ lease event diaries etc. in line with client / property requirements

  • Expenditure monitoring

  • Deal with enquiries from tenants, clients, solicitors, local authorities, etc, being able to confidently handle all enquiries and any complaints as a point of escalation from other colleagues if required

  • Manage the on-boarding / off-boarding of properties

  • Arrange property inspections for 3rd parties as required

  • Code and approve service charge recoverable invoices in line with the property budget

  • Direct liaison with internal and external clients throughout the network

  • Save and manage legal documents to the appropriate database systems

  • Assist in ensuring that all service charge budgets and reconciliations are completed in a timely manner and before any agreed deadlines

Skills, Knowledge and Experience

  • Previous property management work experience

  • Good organisational and co-ordination skills

  • Good verbal and written communication skills

  • Excellent time management

  • Ability to multitask and to work accurately and effectively under pressure

  • Good general administrative skills - essential

  • Must be computer literate in Microsoft Excel, Word, Outlook & PowerPoint

  • Strong team player - builds relationships, consults with others, establishes trust & credibility

  • Confident with a positive outlook

  • Ethical with strong integrity

  • Able to share knowledge and train others where required

  • Able to delegate effectively
