The Company

A Head of Commercial Property Management is required to join a highly successful property company - with unrivalled expertise focused across multiple sectors – retail & leisure, industrial, office, residential and development.

The business has grown to become one of the major forces in real estate in the North of England, primarily focused across major Northern conurbations, including the Northwest, with a large portfolio of commercial property and a sizeable landbank for current and future development.

This is a client-side Head of Commercial Property Management role, being an integral part within the Property and Asset Management team. 

The Role

Overall responsibility for delivery of the Property Management function through management of a third-party provider.

Responsible for ensuring timely and accurate preparation, approval, monitoring and reporting of service charge budgets and reconciliations, H&S, compliance, insurance, utility management, business rates management, sustainability, invoicing, credit control, procurement, tenant and contractor liaison and property maintenance to be measured against contractual KPI’s.

Managing a strong and effective relationship and be the point of contact between all areas of the business and the outsourced provider to ensure that the property and facilities management is delivered to a high and safe standard, whilst always ensuring compliance. Reviewing results and reports to drive performance of the property management function to realise efficiencies, improvements or value-added items. Management of the portfolio’s commercialisation through oversight of third-party providers

Key Responsibilities

  • Co-ordinating H&S management undertaken by managing agent and reporting on the compliance of the operational portfolio including ensuring tenant and contractor/third party compliance.
  • Ensure setting and reconciliation of service charge budgets by the managing agent subsequent Board approval. Ensure efficiencies have been sought, procurement procedures followed and compliance against lease recoverability.
  • Ensure the managing agent is resolving tenant queries promptly whilst building positive relations: operational, budgetary and any other matters.
  • Ensuring correct invoicing for rent and service charges in conjunction with managing agent and/or internal departments.
  • Reviewing recommendations on tenant applications to alter, assign, sub-let etc. and securing internal consents to relay back to agents.
  • Making property management related recommendations to internal business committees
  • Ensuring comprehensive and up to date property records are maintained across a range of third-party systems.
  • Liaison with credit control dept. on tenant arrears or completion statements and leading the resolution of tenant arrears.
  • Liaise with asset management, external agents and legal depts. on new lettings and other lease events.
  • Liaison with project management dept. and external agents on the delivery of developments and handover to property management.
  • Ensuring portfolio compliance with all other relevant legislation
  • Overseeing and ensuring business rates mitigation/management strategies are implemented in conjunction with third-party consultant.
  • Reviewing of insurance claims, mitigation and queries in co-ordination with the managing agent, insurer and insurance broker.
  • Working with third party consultants and wider property team implement sustainability targets and compliance across the portfolio.
  • Ensuring that the managing agent is procuring, implementing and monitoring the standard of services delivery by appointing suppliers and reviewing KPIs/responding to performance issues.
  • Ensuring that reactive/planned maintenance is being carried out promptly and, where relevant, in compliance with agreed ppm schedules, by the managing agent.
  • Monitoring of void costs and to seek efficiencies where possible.
  • Reviewing the performance of the managing agent(s) on a regular basis against KPIs, reporting on the same and advising internally whether standards have been met/exceeded to provide a recommendation on payment of performance related management fees.
  • Preparation of any property management related papers for Board or other meetings.
  • Production of a monthly property management report detailing ongoing matters at each site.
  • Input into the business planning process in terms of strategic initiatives, alternative sources of income, service charge projects and void costs.

Skills Required

  • A qualified Chartered Surveyor (MRICS) specialising in property management.
  • It is anticipated that the successful candidate will have a minimum of 5 years’ post qualified experience.
  • Detailed oriented, organised and capable of multitasking effectively.
  • Ability to work independently and as part of a team.

Experience of working in a similar role within a property company or consultancy in the commercial property sectors. Excellent written and verbal communications skills A good level of proficiency on Word, Excel and Power point UK Driving License essential.
